The following is important information
you should know before planning your Summer Program
at Florida Tech.
Available
Dates
Contracts
Liability Insurance
Youth Group Supervision
Food and Beverage
Available
Dates: Residence Hall accommodations for groups
of 10 to 300 are available from the first week
of June through early August. Please contact our
office prior to planning programs where participants
will need housing on campus.
Contracts:
Summer Conference Contracts are generally initiated
beginning in February. All contracts include guarantee
deadlines where minimum deposits are due prior
to the actual contracted dates. Accommodations
are not guaranteed until a contract has been signed
by an authorized group representative and Florida
Tech.
Liability
Insurance: All groups must provide the university
with a copy of a current and valid CERTIFICATE
OF INSURANCE (issued by an insurance agency/company
legally authorized to provide comprehensive liability
coverage in the State of Florida) naming the Florida
Institute of Technology (Florida Tech) as additionally
insured and covering both General Liability and
Worker's Compensation. Specifics of this requirement
are handled on a case-by-case basis depending
upon the type of planned event. All policies must
be COMPREHENSIVE GENERAL LIABILITY INSURANCE and
have a MINIMUM COVERAGE IN THE AMOUNT OF ONE-MILLION
DOLLARS.
Florida Tech is not liable for damage to or loss
of personal property, or from failure or interruption
of public utilities. Personal property/liability
insurance is required. All groups must be aware
that liability for any injury or damage to persons
or property by the conduct of their activity is
recognized and assumed by the User.
Youth Group
Supervision: Groups whose participants are
of college and/or pre-college age must provide
and pay the associated costs for live-in adult
advisors. We require a ratio of one adult for
every 10 participants. Youth groups should also
plan to provide structured opportunities and free-time
activities during times when participants are
not directly involved in program activities. Florida
Tech requires that groups have in their possession
a medical release for every minor child that is
not accompanied by a parent allowing hospital
treatment or treatment by a doctor should an accident
occur.
Food and
Beverage: All organizations using Florida
Tech facilities must utilize the Florida Tech
Dining Services and/or Florida Tech Catering.
No food or beverages may be brought from off campus
without permission from the Conference and Events
Office. Florida Tech Dining and Catering Services
provide a wide variety of choices from an "all
you care to eat" cafeteria and a la carte menus
in the Sub Cafe and Rathskeller. The sky's the
limit when it comes to catering. Our Florida Tech
staff can pull together just about any menu you
want for your group.
